Creative Project Specialist

We are looking for a rock-star project specialist who excels at managing lots of logistics and collaborating with multiple stakeholders to keep our campaigns and programs running smoothly, on time and on budget. Working closely with program managers, digital marketing, creative agencies, freelancers, and every area of the marketing organization, you will play a critical role in bringing our programs to market. You’ll also help institute best practices in processes in order to improve efficiencies in campaign management and ensure the smooth production and quality of deliverables. This is a 5 months contract role, with possibility of extension.

Specifically you’ll:

Manage campaign timelines 

  • Develop critical paths by identifying tasks, deadlines and stakeholders  
  • Ensure stakeholders adhere to the timeline – following up with appropriate parties to make sure all tasks are completed on time and delays are identified and resolutions defined
  • Provide executive timeline summaries 
  • Help run logistics meetings internally and externally

Manage Kapost as it pertains to global programs

  • Create entries for each deliverable or work with Content team to ensure deliverables are entered
  • Ensure reviews and approvals are completed to ensure deadlines are met
  • Oversee execution of campaign channel plans (social, paid media, email, web, etc)
  • Ensure campaign channel plans are received by channel owners 
  • Identify copy and image requirements for campaign asset production
  • Ensure execution meets campaign timelines and in-market dates

Manage delivery of creative files

  • Develop and manage image spec sheet for production of banners and image files with creative agencies
  • Ensure all banners and image files are delivered on spec from agencies 
  • Ensure correct banners and image files are received by all internal and external stakeholders on time
  • Ensure final source files are uploaded to SharePoint with the correct file naming and folder structure
  • Manage development of Campaign Playbook 

Project management best practices

  • Help develop and institute better workflows and systems 
  • Help with the creation and adoption of new processes and playbooks, as well as leveraging project management software

Work with Programs and Events teams on webinar execution, from planning to post-event follow-up

Help update/maintain internal campaign portals on Sharepoint for use by the marketing and sales organization 


• BS/BA in marketing, advertising, communications or journalism

• Approx 5 years experience in marketing or ad agency role requiring significant project management

• Excellent writing, interpersonal and verbal communication skills

• Extremely strong attention to detail

• Self-starter with strong problem-solving skills

• Strong project management and organizational skills required 

• Demonstrated ability to manage multiple projects simultaneously 

• Strong track record of meeting tight deadlines and staying flexible in the face of change

• Experience working with cross-functional teams

• Expert knowledge of Microsoft Office programs 

• Experience with webinar, content management, Intranet and project management platforms (Kapost, Sharepoint and Wrike preferred)

• Ability to understand data and metrics
