This is a hybrid role in Costa Mesa (5 - 6 times on-site a month).

Pay Range: $30/hr - $35/hr

 

Looking for a full-time (40hrs/week) Event Manager. The Event Manager will work with a multinational consumer credit reporting company. This is a great entry into a large organization. The role is currently temporary (3-months), but has the potential to become permanent. 

The Event Manager's Job Responsibilities:

  • Responsible for execution of all in-person, hybrid, and remote executive briefings.
  • Own account team engagements from visit request intake processing to Discussion Leader orchestration and preparation, onsite visit management, and post-visit surveys and communications
  • Engage with senior leaders from across various organizations to ensure that each executive briefing is successful and exceeds customer and account team expectations
  • Provide management of day-to-day operations for the Costa Mesa Executive Briefing Center, including guest services, event planning, inventory, catering, building services, and facilities interaction.
  • Must be on-site at our Costa Mesa campus for meeting prep and day of execution.
  • Plan, rehearse and participate as an “online moderator” for virtual or hybrid briefings utilizing MS Teams and/or Webex.
  • Provide support to Sales Executives to ensure smooth and timely delivery of associated deliverables.
  • Prepare meeting rooms & work with stakeholders for in-person briefings (Xerox, security, meeting materials, gifts, catering, A/V, etc.).
  • Serve as the main point of contact & Project Manager for Sales Executive hosting briefing in preparation for the event and “day-of” needs.
  • Coordinate logistics for guests coming to our Costa Mesa campus, or other locations, including lodging, transportation, dinners, and entertainment.
  • Ability to create and manage Cvent websites, deploy communications, and produce registration reports within the Cvent registration management software system.
  • Maintain detailed administrative and procedural processes to ensure accuracy and efficiency.
  • Cultivate robust and beneficial relationships with various levels of stakeholders (internal and external).
  • Keep abreast of industry trends, and technology and share best practices.
  • Support survey summary report development and other post-event metrics to identify success and areas of opportunity.
  • Demonstrate event planning and event management standard methodologies.

The Event Manager's Qualifications

  • 3+ years minimum in sales and/or event support experience.
  • 1+ year experience hosting virtual events required with MS Teams or Webex.
  • Strong experience within Cvent online registration management software.
  • Skilled in creating registration websites, uploading lists, deploying communications, and extracting reports.
  • Ability to deal with last-minute changes and deadlines while showing grace under pressure.
  • Comfortable working closely with senior-level executives.
  • Ability to set goals, define milestones and consistently work toward their achievement.
  • Ability to work outside of normal business hours when necessary.
  • Strong MS Office Skills especially Outlook, PowerPoint, and Excel.
  • Experience in Salesforce and Terminus engagement hub is desired.
  • Experience with Wrike project management software and Alchemer survey software is a plus.
  • Ability to work independently and demonstrate initiative.
  • Excellent customer service skills needed for vendor relations, client interaction, and stakeholder presentations.
  • Dedicated and creative thinker; problem solver and ability to “think and make decisions on your feet”.
  • Highly organized, detail-focused, results-driven, accountable with the ability to handle stress and last-minute, urgent requests.
