Job Description

Vitamin T in Chicago is working with a Media Publishing House in Downtown. They are looking to bring on a Creative Project Coordinator to asssit their creative team for about 3 months to start.  This will range from 4-5 days. The ideal candidate MUST have experience using Workfront.

The Creative Project Coordinator will own key project management functions such as scheduling, scoping, resource management and risk mitigation to ensure projects are delivered
within deadline. The position works closely with the marketing coordinator from creative completion to hand-off for accuracy in media trafficking. This position reports directly to the Creative Director.

Essential Duties &Responsibilities:
- Work directly with creative and marketing teams to develop, track and maintain project plans and deliverables; maintain and update schedules, communicate on project milestones and distribute weekly project reports (right team, properly planned, client alignment)
- Partner with creative and marketing teams to manage projects from briefing to final hand-off
- Ability to prioritize competing demands across all campaigns, anticipate the needs of your projects and identify issues that require a heightened urgency or a need for internal escalation
- Responsible for developing asset lists/tasks for creative team based on media plan and ensuring creative development work is done to specifications (which vary by market)
- Monitor job progress by tracking job schedules, routing work for approvals, tracking changes, communicating changes and job status, and resolving problems
- Keep creative team and key stakeholders moving in the same direction
- You will learn to use the right communication tools at the right time, understand how to communicate effectively and lean into your work with active participation in meetings and on your projects
- Must be able to identify key metrics on all projects to help prioritize and monitor critical milestones, ensuring consistent and effective tracking and reporting of progress to marketing coordinator/media traffic
- Lead weekly check-in meetings with cross-functional teams to keep them informed on assignments, schedules, productions, vacations, etc.
- Create the Project Timeline to clearly identify all steps leading up to major project milestones and final deadline(s)
- Schedule all internal meetings, and take meeting notes – Kick Off, Internal Reviews
- Create and update any internally required project documents e.g. WF tracker for weekly meetings
- Traffic &route creative after final approvals to marketing coordinator

Qualifications:

- 4+ years of experience in project or traffic management in an in-house agency environment is preferred
- Qualified candidates will have BA or BS, preferably in Marketing or Advertising
- PMP and/or CSM Certification (or desire to get this)
- Experience using and solid understanding of a digital traffic management and/or project management system (i.e. Workfront, Slack, etc.)
- Possess an understanding of the creative process relating to media assets such as print and other marketing tactics in order to effectively manage resources, time and budgets; additional experience with digital media production would be ideal
- Experience prioritizing multiple projects and tasks with changing requirements
- Understanding of advertising practices and how integrated marketing campaigns are executed
- Excellent written and oral communication skills
