Job Description

Vitamin T is currently in search of a Project Manager for our client in Metro Detroit. This is a an onsite freelance role!

Responsible for managing the effort to deliver projects that meet client requirements on time and within the established estimate. Directs resource management and collaborates with the Sr Project Manager and Associate Director to establish project plans and manage client scope. Partners with Creative and Production to steward the agency ideation process and execution. Monitors risks, resolves conflicts and ensures quality.

Project Planning

  • Ensures the project and its components are within Client/Agency scope.
  • Coordinates integrated service offerings such as strategic consulting, media planning and production, digital application design and development, quality control, systems architecture, etc.
  • Works with Marketing and Creative (as well as all members of assigned project team) to determine costs, timing and resources necessary for project strategy, execution and delivery.
  • Assists, with Creative input, in assigning creative resources to projects
  • Partners with Creative, Production and internal studio to steward agency ideation process and its execution.

Execution

  • Prepares for, leads and documents Briefing meeting and all subsequent project team meetings.
  • Works with internal and external resources to obtain art, copy and a/v assets as needed.
  • Ensures approval is obtained from Client, Marketing, Strategy, Legal, Client Legal, Creative, Proofreading, Product, etc. as deliverable routes internally and externally.
  • Electronically organizes creative briefs, work orders, scripts, logos, images, etc. for latest reference material.
  • Creates and maintains project plans, proposals and estimates, scope documents, risk assessments, specifications, project schedules and change requests.
  • Works with Marketing to document Client signoff at key points during project.
  • Identifies critical path requirements to ensure timely product delivery.
  • Manages third-party communications and relationships as necessary.
  • Arranges, facilitates, and documents project postmortems.
  • Ensures all project information is archived appropriately, including briefs, work orders, client approvals, production, assets, financials, etc. upon completion of project.
  • Oversees room set-up for Client presentations.
  • Ensures strong relationship with internal studio and proactively resolves creative/production concerns.
  • Oversees the management of the Client Operations group server, art numbers, Ad-IDs, Client assets, and on-site reference materials.

Leadership and Communication

  • Clearly communicates tasks, timing, milestones and budgets to project teams on a regular basis.
  • Coordinates all activities of the project team, following up on all action items and ensuring that project tasks are completed.
  • Works with internal resources to proactively solve project related issues directly prior to escalating those issues appropriately and as needed.
  • Communicates and adheres to Client and Agency policies.

Reporting

  • Creates accurate, timely resource requests according to process; ensures that project is appropriately staffed.
  • Manages actual time allocation to ensure staff reporting coincides with individual project plan and overall client scope.
  • Delivers regular detailed status reports to marketing team, project team, and company management.
  • Arranges analytical details into easy-to-understand reporting and presentations.

Change Management

  • Ensures that project remains on schedule and on budget and takes corrective measures as needed, managing both internal and external milestones.
  • Identifies scope changes as they occur and manages defined change control process, shifting project budget, time, and/or scope as necessary to ensure profitability.

Client Management

  • Manages complex relationships with multiple stakeholders within Clients (as necessary), Marketing, Creative, and Finance and across multiple vendors as necessary.
  • Working with Marketing actively seeks to manage project timelines against available resources.

Process Improvement

  • Work with the Associate Director to develop, implement, monitor and improve agency project management processes.

  • The individual should be skilled in maintaining optimum productivity – able to multi-task appropriately, be proactive, and meet all deadlines and meetings punctually.
  • The individual should organize themselves and their work in order to adhere to all requirements in terms of administration, time sheets, and other Client and corporate policies.

Education

  • Bachelors Degree

Experience

  • At least 2-4 years traditional Agency or Advertising experience in digital project management.

Computer

  • MS Office
  • MAC Creative Suite a plus

While performing duties, employees are regularly required to use written and oral communication skills; may read and interpret data, information and documents; observe and respond to people and situations; learn and apply new information or skills; work under deadlines; and interact with others encountered in the course of work. The employee works under typical office conditions, and the noise level is usually quiet to moderate.
