Job Description

A growing organization seeks a hard-working and talented Event Production Manager to help produce a wide range of events. The Event Production Manager plays key role in the delivery of large events, and this role will require domestic and international travel for site visits and events, including weekends.

Extraordinary written and verbal communication skills, responsiveness, and being detail oriented are all key for the Event Production Manager. Ideal candidates will have strong communication and organizational skills, and should have a work ethic second to none and attention to detail that leaves nothing to chance.

Specific responsibilities include but are not limited to:

- Event Planning: Support in coordinating pre-production, event execution and post-event follow-up for events ranging from intimate international trips for 100 guests, to 15,000 person private speaking seminars/events with the production value of a rock concert.
- Research & Site Visit: Conduct site selection and site visits including hotels and independent activities
- Contract Negotiation: Negotiations skills are a must. Understanding how to create strong relationships, a trust between you and the client, and meeting each others needs while walking away with the best end of the deal.
- Budget Management: Adhere to budgets by comparisons to the previous year and current year’s budget, and negotiating contracts and ensuring accurate and timely payments to all vendors. Manage your event specific budget from beginning to end and enter actuals in real time.
- Oversee Staff: Oversee event staff supporting week-long events of 200-300+ people.
- Travel & Logistics Management: Coordinate heavy logistics including booking complicated travel, hotel arrangements, maintain rooming lists, and scheduling activities for staff and clients.
- Speaker Coordination: Engage your strong communication, coordination, and logistics sills when managing speakers: travel, contracts, and technical requirements.
- Manage Technical Production: An educated knowledge of technical production (sound and lighting) is not necessary, but eagerness to learn is a must. Having worked side by side with an A/V company is a must.
- Procedure Manuals: Write and update event procedure manuals to record and archive best practices.
- Maintain Strong Vendor/Contractor Relations: Create, manage and maintain strong working relationships with frequently used contractors and venue managers.
- AP Support for Payments: Support the Production department’s interactions with Accounts Payable Department to include submitting payments, invoices and expenses for employees, contractors and vendors.
- Serve as “mission control” for traveling team supporting with solutions to challenges that arise on the road.
- Maintain flow and filing of paperwork in the office as well as on the “shared” drive.
- Procuring supplies for office and events including comparing bids and managing shipping.

- 5+ years coordinating large events.

- Strong candidates tend to have produced events like concerts or even casino events. (Experience with tradeshow production/weddings/corporate events doesn't always translate well.)

- Note: Travel may be involved in up to 40% of the role.

- Must be able to coordinate between many different teams and departments.
